PRIVACY
POLICY.
This policy explains how Advanced Coaching collects and uses personal information when you visit this website, make an enquiry, or receive coaching services.
01
Who this policy covers
Advanced Coaching is the data controller for the personal information described in this policy. This policy covers website visitors, prospective clients, clients, and parents or guardians involved in junior coaching. A service agreement or onboarding form may provide additional information where a particular coaching package requires it.
The website is not intended for a child to submit an enquiry independently. Where coaching is offered to someone under 18, a parent or guardian must be involved and we only collect information reasonably needed to deliver the service safely.
02
Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact information, including your name, email address, telephone number, and parent or guardian details where relevant.
- Enquiry information, including the service you are interested in, your goals, and anything you include in the consultation form or later communications.
- Coaching information, including training history, availability, performance data, programme feedback, progress records, and information needed to tailor your service.
- Health and safety information that you choose to provide during appropriate onboarding, such as injuries, medical considerations, or accessibility needs.
- Transaction and administration records, including package, payment, appointment, cancellation, and accounting information. We do not ask you to submit card details through this website form.
- Technical information that hosting and security providers may receive automatically, such as IP address, browser type, device information, request time, and pages requested.
03
How and why we use information
| Purpose | Usual lawful basis |
|---|---|
| Responding to enquiries and discussing a suitable service | Taking steps at your request before entering a contract; and legitimate interests in responding to genuine enquiries |
| Providing coaching, administering appointments, communicating with you, and managing payment | Performance of a contract |
| Maintaining business, tax, safeguarding, insurance, and dispute records | Legal obligation and legitimate interests |
| Protecting the website, preventing misuse, and improving services | Legitimate interests in operating a secure and effective business |
| Using health information needed to tailor or safely deliver coaching | Explicit consent where required, alongside an applicable Article 6 lawful basis |
| Sending optional promotional email or messages | Consent, where required. You can withdraw it at any time |
We do not use personal information for solely automated decisions that produce legal or similarly significant effects.
06
How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose collected, including legal, accounting, insurance, safeguarding, and dispute requirements. As a general guide:
- enquiries that do not become a client relationship are normally reviewed for deletion after 12 months from the last meaningful contact;
- core client, contract, and payment records may normally be retained for up to six years after the relationship ends;
- health, training, and progress information is reviewed and removed when it is no longer needed for safe service delivery or a legitimate record-keeping purpose; and
- information used for optional marketing is kept until you unsubscribe, withdraw consent, or it is no longer useful.
Backups and copies held by service providers may take a limited additional period to expire securely.
07
Security
Reasonable technical and organisational measures are used to protect personal information, including limiting access to people and providers who need it. No internet or email system can be guaranteed completely secure, so please use the dedicated onboarding process rather than ordinary email for sensitive health details.
08
Your data-protection rights
Depending on the circumstances, UK data-protection law may give you the right to request access to your information, correction, erasure, restriction, portability, or to object to processing. You may withdraw consent at any time where processing relies on consent. These rights are not absolute and an exemption may apply.
To make a request, email advancedcoaching0@gmail.com. We may need to verify your identity and will normally respond within the time required by law.
If you are unhappy with how your information is handled, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office (ICO).
09

This policy may be updated when services, providers, or legal requirements change. The latest version will be posted here with a revised date.
